Job Description

Location: Etobicoke, ON M9C 5J1

Salary: $28.50 per hour for 35 hours per week

Overtime:1.5 times gross pay after completion of 44 hours

Vacation Pay: 4% on every pay period

Job Type: Permanent employment

Job Responsibilities

  • Handling and responding to emails, letters, and other forms of communication, both internal and external.
  • Overseeing the day-to-day operations and ensuring the smooth functioning of the office or administrative department.
  • Maintaining and organizing records, documents, and files in an efficient and accessible manner.
  • Managing appointments, meetings, and events for executives or team members.
  • Accurately entering and updating data in databases or spreadsheets.
  • Managing office supplies, ordering new materials as needed, and keeping track of inventory.
  • Creating, formatting, and proofreading documents, reports, and presentations.
  • Making travel arrangements, including booking flights, accommodations, and itineraries for staff members or executives.
  • Assisting in budget management, tracking expenses, and ensuring cost-effectiveness.
  • Providing administrative support to managers, executives, or other team members as required.
  • Maintaining a well-organized filing system and ensuring documents are easy to locate.

Eligibility Requirements:

  • A CEGEP/ college diploma is the minimum educational requirement.
  • Typically, 2 to 3 years of prior administrative or office management experience is desired.
  • Strong written and verbal communication skills are essential for effective correspondence and interaction with colleagues, clients, and visitors.
  • Proficiency in using office software (e.g., Microsoft Office suite), email, and other relevant applications is often required.
  • Strong organizational abilities to maintain records, schedules, and files efficiently.
  • Meticulous attention to detail to ensure accuracy in document preparation and data entry.
  • Effective time management skills to handle multiple tasks and priorities.
  • Ability to identify and resolve administrative challenges and issues that may arise.
  • Flexibility and the capacity to adapt to changing priorities or requirements.
