Education

Completion of secondary school or equivalent experience (minimum 3 years)

Knowledge/experience in construction, more specific in plumbing and HVAC.

Tasks

Assign, co-ordinate and review projects and services.

Schedule, confirm and follow up services.

Answer telephone and relay telephone calls and messages.

Provide excellent customer service.

Answer electronic enquiries from clients and suppliers regarding invoices and credits.

Maintain the inventory up to date.

Compile data, statistics and other information.

Plan, organize, direct, control and evaluate daily operations.

Arrange travel, related itineraries and make reservations.

Set up and maintain manual and computerized information filing systems.

Work with the marketing department to understand and communicate marketing messages to the field.

Data entry

Follow Health and Safety standards.

Additional Skills

Duties

  • Proficient in preparing reports for management, particularly regarding finance and billing.
  • Coordinated meetings, and maintain the cleaning, coordinating cleaning services for office.
  • Demonstrated ability to provide exceptional customer service to top clients.
  • Scheduled and confirmed appointments and documented updates in scheduling software.
  • Ordered office supplies and maintained inventory.
  • Skilled in efficiently processing and set up service orders.
  • Competent in handling invoices and payroll tasks.
  • Answered telephone and electronic inquiries and relayed telephone calls and messages.
  • Provides comprehensive administrative support, including document preparation, mail handling, and schedule organization.
  • Proficient in utilizing Google Workspace (Docs, Sheets, Slides, Forms, Calendar) Microsoft Office Suite (Excel, Outlook, Word PowerPoint) Sage 5.0 and SAP.
  • Experience in a mechanical company specializing in plumbing, heating, and air conditioning, in the multi-unit residential and commercial sectors, considered as an asset.
  • Constant update the inventory and manage the petit cash.
