JOB SUMMARY:

As a Lease Administrative Supervisor, you will play a vital role in overseeing and coordinating office administrative procedures, implementing new processes, and managing the lease account database. You will establish work priorities, delegate tasks to support staff, and ensure deadlines are met. Additionally, you will handle administrative activities related to vehicle replacement policies, private insurance, POS charges, and monthly postage charges. You will develop training materials for lease administrators, review incoming lease requests, and make approval decisions. Managing policies for record release, the supervisor coordinates office services and conducts analysis to ensure compliance. The role also involves assembling data, preparing reports and correspondence.

JOB DESCRIPTION AND DUTIES: 

  • Supervise and manage administrative processes within the office, while also assessing, appraising, and introducing new procedures as needed. Set priorities for tasks, assign responsibilities to support staff, and ensure that deadlines are adhered to, while also ensuring compliance with procedures.
  • Manage the lease account database, regularly update and purge accounts.
  • Carry out administrative activities associated with vehicle replacement policies (Optiom), private insurance policies, internal POS charges and monthly postage charges.
  • Develop training materials for leasing companies to assist train the lease administrators.
  • Review incoming lease requests and commissions, analyse, approve or decline accordingly.
  • Manage and enforce policies and procedures concerning the release of records when handling requests from leasing companies.
  • Organize and strategize office services, including equipment, supplies, forms, parking, maintenance, and security services.
  • Conduct analysis and audits to ensure compliance.
  • Compile information and generate regular and special reports, manuals, and correspondence.
  • Supervise a team of 5 to 8 employees.

 

EDUCATION, EXPERIENCE AND LANGUAGE REQUIREMENTS:

  • A university degree or college diploma in business or public administration required
  • Minimum 1 year experience in a similar role and/or insurance industry
  • Critical thinking & Excellent time management is required
  • Adaptability in a fast-paced environment
  • Analyze data to identify trends and potential issues

TERMS OF EMPLOYMENT: Permanent Full-time, Long-term.

 

WAGES: $29 per hour

 

HOURS OF WORK: 40 hours per week

 

OVERTIME: One and one-half times the regular wage rate as per provincial regulations.

 

BENEFITS PACKAGE: 

  • Insurance from Workplace Safety Insurance Board covered by employer
  • Vacation pay as per provincial regulations will be paid each payday on a semi-monthly basis.

 

ANTICIPATED START DATE OF EMPLOYMENT: As soon as possible
