Job Details:

Position: Administrative Assistant (NOC 13110)

Number of vacancies: 1

Wages: $28.50 CAD Per hour

Working hours per week: 40 hours

Type of offer: Permanent employment and Full-time 

Work Location: 37 Kodiak Crescent, Unit 11, North York, ON M3J 3E5 

Education Required: Secondary (high) school graduation certificate or equivalent experience.

Experience: 1 year

Language: English 

Job Duties:  

    • Plan and control budget and expenditures
    • Train and Supervise other workers
    • Establish and implement policies and procedures
    • Assign, co-ordinate and review projects and programs
    • Record and prepare minutes of meetings, seminars and conferences
    • Determine and establish office procedures and routines
    • Schedule and confirm appointments
    • Manage contracts
    • Answer telephone and relay telephone calls and messages
    • Oversee the analysis of employee data and information
    • Answer emails and make full arrangements on the agenda for the senior personnel and the CEO directly with professional communication. Oversee the development of communication strategies
    • Compile data and other information
    • Oversee the preparation of reports
    • Advise senior management
    • Respond to employee questions and complaints
    • Order office supplies and maintain inventory
    • Organize and administer staff consultation and grievance procedures
    • Arrange travel, and related itineraries and make reservations
    • Greet people and direct them to contacts or service areas
    • Open and distribute regular and electronic incoming mail and other material and co-ordinate the flow of information
    • Set up and maintain manual and computerized information filing systems
    • Type and proofread correspondence, forms and other documents
    • Conduct research
    • Provide customer service
    • Work with the marketing area
    • Perform basic bookkeeping tasks
    • Process and data entry of expenses, invoices and financial reports for each ongoing and incoming project.
    • Assist managers and follow up with clients to collect payments to avoid overdue.
    • Maintain and manage digital database
    • Consult with clients after sale to provide ongoing support
    • Conduct performance reviews
    • Execute clerical tasks and general office duties such as copying, scanning,
    • Supervise office and volunteer staff
