Job duties and responsibilities not limited to:
- To effectively handle and answer telephone and electronic enquiries, relay phone calls and messages.
- Organize and maintain manual and information filing systems
- Identify and establish office procedures related with the branch.
- Meet and greet visitors, determine nature of business and guide them to the CEO or appropriate person.
- Prepare and record minutes of meetings and organize meetings and conferences.
- Type and edit and proofread correspondence, invoices, presentations and marketing material from CEO and prepare handwritten copy.
- Disseminate incoming regular and electronic email, mails and other material and coordinate the sharing of information internal and external.
- Maintain and order office supplies and inventory.
- Responsible for organizing travel schedules and required reservations.
- Assess and compile data, stats and other information to support research activities.
- Effectively supervise and participate in training office staff in procedures and new recruits.
â— Skill requirements for the position (including education and work experience):
- Completion of secondary school is required.
- A college diploma in business or public administration will be preferred.
- Experience in a senior clerical or executive secretarial position related to office
- Administration or coordinating is preferred.
- Minimum working experience of 1-2 years in the preceding years before applying for this job.
- Ability to multi-task, remain cool and keep up in a fast-paced environment.
- Required interpersonal and communication experience, both verbal & written.
Terms of Employment: Permanent, full time and non-seasonal
- Hours per week: 30
- Working schedule (regular Monday – Friday or per need basis): additional hours of
workload may be required as per the requirement by the office. Normal Workday will
be 9am to 4 pm.
- Language of work: English, working knowledge of Punjabi will be an asset
