Salary: $29.15 per hour for 35 hours per week

Overtime: 1.5 times of gross pay after completion of 44 hours
Vacation Pay: 4% on every pay period

Job Responsibilities:
- Being in touch with the accounting department and supervising the billings, payments, checks, and different invoices.
- Ensuring the functionality of different office equipment and furniture and replacing or introducing different necessary equipment on genuine demand.
- Warmly greet visitors, answer and direct phone calls promptly, fielding solicitors and maintaining office efficiency by arranging necessary repairs.
- Look after administrative duties, such as generating and distributing memos, letters, spreadsheets, forms, faxes, and emails.
- Assisting with billing by preparing and sending invoices, maintaining client databases, tracking accounts, overseeing the invoice workflow, and assisting in copying and distributing production orders and other internal documents.
- Updating documents used by accounting, production, and designers as requested
- Maintain a schedule of meetings, appointments, and travel arrangements and provide timely reminders of the same.
- Coordinating and overseeing all office activities.
- Ensuring that all relevant company procedures and policies are being upheld.
- Supervise the members of the administrative team and coordinate their activities.
- Keep databases in check and update them regularly.
- Control the office supplies state and make sure it is under office needs.
Eligibility Requirements:
- A CEGEP/college in administration, business, or a related field.
- Two to three years of experience as an office admin, office assistant, or any relevant role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and design software (e.g., AutoCAD, Adobe Creative Suite).
- Excellent organizational, multitasking, and time-management skills.
- Strong communication skills, both written and verbal.
- Attention to detail and ability to maintain accuracy in documentation.
- Knowledge of interior design concepts, materials, and terminology.
- Ability to work collaboratively in a creative and dynamic environment.
