Job Duties:
- Greet customers and vendors in a friendly and professional manner.
- Determine and establish office procedures.
- Answer phone calls and respond to inquiries or direct calls to the appropriate staff member.
- Check and respond to emails and correspondence from customers, vendors, and staff.
- Scheduling appointments for estimates or repair work for customers with owner or other technicians.
- Maintain and organize manual and computerized information filing systems. Enter data related to vehicle repairs, maintenance, and billing into the shop's computer system.
- Process paperwork related to repairs, including invoices, work orders, and purchase orders.
- Assist customers in person and over the phone with inquiries, estimates, and status updates on vehicle repairs.
- Handle customer complaints or issues and escalate them to the appropriate personnel if necessary.
- Assist in monitoring parts and supplies inventory, including ordering new stock when needed.
- Maintain accurate and up-to-date records of customer information and transactions.
- Create and process invoices for completed repairs or services.
- Order and replenish office supplies as needed.
