Job Description

Venus Law Corporation is a Law firm situated in Abbotsford, BC, Canada. We provide Business Law, Real Estate, wills and estate, Divorce, Assault, Commercial Law, and all Notary services. We are looking for an “Administrative Officer” to manage the operations of our Law firm. 

Position: Administrative Officer

Terms of employment: Permanent / Full Time

Vacancy: 1

Start Date: As soon as possible

Salary: $27.50/ hour for 40 hours per week

Language: English

Education: Secondary (high) school graduation certificate, college diploma an asset.

Experience: 1year to less than 2 years.

Location: 101-2860 Trethewey Street, Abbotsford, BC, V2T 0G5 Canada
Start Date: As soon as possible.

Duties of Administrative Officer (NOC: 13100) shall be:

  • Establish work priorities and ensure procedures are followed and deadlines are met.
  • Review, evaluate and implement new administrative procedures.
  • Prepare files for new clients, including opening and closing flies, and carry out conflict checks.
  • Update clients about their status and sending files to the storage.
  • Arrange mails, may have to open and distribute mails too.
  • General administrative work including, ordering office stationery, business cards, lawyers’ stamps, sorting and labeling invoices, posting documents in  in accounting software, and maintaining inventory.
  • Assist in preparation of operating budget and budgetary control.
  •  Ensuring that settlements are carried out on the payment machines and reports are provided to the accounts department on a daily basis.
  • Booking the boardrooms for lawyers’ meetings and ensuring the room appliances are working properly (if not then placing service calls for maintenance)
  • Coordinate and plan for office services such as parking, relocation, supply forms, maintenance & security services.
  • Delegate the work to the office support staff.
  • Oversees and co-ordinate office administrative procedures
  • Administer policies and procedures related to the release of records in processing requests under government access to information and privacy legislation

 

Supervise: 5 to 10 people

Experience and specialization: be able to use Electronic mail, MS Excel, MS Office, MS Outlook, MS PowerPoint, MS Windows, and MSWord. 

Work conditions and physical capabilities: Fast-paced environment, Work under pressure, tight deadlines, Attention to detail.
