Responsibilities


Tasks

  • Implement new administrative procedures.

  • Review and evaluate new administrative procedures.

  • Establish work priorities and ensure procedures are followed and deadlines are met.

  • Carry out administrative activities of establishment.

  • Accurately and promptly process client orders, ensuring compliance with regulatory and company procedures, and manage all related documentation.

  • Prepare and distribute commission reports semi-monthly, ensuring accuracy and timeliness.

  • Process Letters of Indemnity for trade errors, ensuring clients receive the correct trade date price.

  • Track and manage external transfers, coordinating with transfer departments of relinquishing institutions.

  • Manage internal software-generated transactions, reconciling and merging as necessary, and removing system-generated duplicates.

  • Implement new systems as necessary and update the client database with relevant changes.

  • Stay current on back-office system changes, including upgrades, and advise the team on system functions and features.

  • Prepare deposits for client and commission cheques received and manage bank transactions.

  • Track non-financial updates, including systematic plans, beneficiary changes, advisory fees, address updates, and tax information changes.

  • Coordinate and plan for office services such as equipment, supplies, forms, disposal of assets, and maintenance. 

  • Assemble data and prepare periodic and special reports, manuals and correspondence.

  • Perform data entry
