Position Responsibilities & Accountabilities
- Assist in planning and scheduling signage projects from design approval to final installation.
- Coordinate with cross-functional teams including production, design, sales, installation, and warehouse.
- Track project milestones, timelines, and deliverables using internal systems.
- Manage project scope changes and ensure alignment with timelines and budgets.
- Liaise with permitting authorities or clients to secure required approvals and site access.
- Oversee material flow and production logistics to support smooth project execution.
- Coordinate with the warehouse and purchasing teams to ensure timely procurement and delivery of signage materials.
- Monitor shipments, material lead times, and inventory levels for upcoming and ongoing projects.
- Support production scheduling by communicating project needs and timelines to supervisors.
- Plan and coordinate site installation schedules in collaboration with the installation team.
- Act as the central point of contact for clients and internal stakeholders during active projects.
- Maintain regular updates to clients regarding project progress, milestones, and potential risks.
- Gather and document customer requirements and communicate them clearly to internal teams.
- Manage and resolve customer queries, concerns, and escalations professionally.
- Conduct post-project follow-ups to ensure satisfaction and address outstanding issues.
- Prepare and maintain accurate project documentation including work orders, scope statements, and approvals.
- Update internal project management and sales systems with current project data.
- Generate reports on production rates, material usage, inventory levels, and project status.
- Ensure all documentation is filed correctly and is accessible for audits or future reference.
- Promote and ensure adherence to safety protocols across production and installation sites.
- Review job-specific safety requirements and ensure they are communicated to all involved.
- Report on potentially unsafe conditions and support proactive safety practices.
Position Requirements
Education and Experience
- Education in in Business, Supply Chain Management, or a related field is preferred.
- Equivalent experience as a dispatcher, production clerk, or scheduling clerk may be considered in place of formal education.
- Prior experience in project coordination, logistics, or signage production is an asset.
- Familiarity with project management tools is an advantage.
Skills and Competencies
- Strong interpersonal and communication skills; able to collaborate effectively with cross-functional teams including production, sales, design, and installation.
- Proficient in using project management and scheduling software with a good understanding of data tracking and reporting.
- Highly organized with the ability to manage multiple projects, timelines, and tasks simultaneously while maintaining attention to detail.
- Self-motivated, goal-oriented, and able to work independently in a fast-paced environment.
- Strong problem-solving and critical-thinking skills; adaptable to evolving project requirements and site conditions.
Knowledge
- Understanding of production workflows, supply chain logistics, and inventory control, particularly in manufacturing or construction environments.
- Familiarity with safety standards and job site procedures related to signage installation and manufacturing.
- Knowledge of permitting processes and municipal requirements related to sign installation is an asset.
Abilities
- Ability to prioritize tasks and make decisions under pressure to ensure timely project delivery.
- Capable of maintaining clear and consistent communication with both internal teams and external clients.
- Skilled at building positive relationships and fostering a collaborative, solution-oriented work environment.
- Able to manage sensitive project details with professionalism and discretion.
