The Project Administration Officer (PAO) is pivotal in supporting project initiatives. This role requires an individual skilled in essential tasks such as project coordination and scheduling and budget oversight and analysis. By liaising with clients and departments, managing project documentation, and ensuring seamless project execution, the Project Administration Officer is the glue of the team and upholds the company's reputation and values.

 

We are currently searching for an experienced Project Administration Officer.

Job Duties:

 

The major responsibilities of this position include:

 

  • Assemble data and prepare periodic and special reports, manuals, and correspondence
  • Perform data entry
  • Resolve conflict situations
  • Safeguard confidential information with discretion and integrity.
  • Maintain an organized and updated project and leads registry.
  • Assist in innovating and refining administrative systems to streamline company procedures.
  • Review and evaluate new administrative procedures
  • Support inventory control processes within the production department.
  • Carry out general administrative activities, as assigned by the operations manager.
  • Assist in the preparation of the operating budget and maintain inventory and budgetary controls
  • Act as a central resource for departmental coordination, ensuring optimal efficiency in project-related matters.
  • Ensure that all the departments are up to date with all project relevant information, to perform their duties efficiently.
  • Facilitate scheduling for delivery, production, templating, and installation activities.
  • Foster strong correspondence with clients and address their inquiries promptly.
  • Manage multiple projects concurrently, maintaining oversight without direct control.
  • Delegate work to office support staff.
  • Establish work priorities and ensure procedures are followed and deadlines are met
  • Plan and control budget and expenditures for projects.
  • Provide progress reports & monitor and analyze quality of work.
  • Take accurate minutes of meetings.
  • Provide clients with accurate project information.
  • Support the project manager in the following tasks, occasionally substituting into this role when necessary:

â—‹    Conduct site measurements before and after demolition.

â—‹    Proactively follow up on leads provided by the Operations Manager, nurturing client relationships, and advocating for project proposals.

â—‹    Draft project proposals, quotes, and contracts.

â—‹    Maintain project files once assigned.

â—‹    Collaborate with the Operations Manager and Production Manager to coordinate construction schedules.

â—‹    Oversee delivery and installation processes.

â—‹    Ensure project completion and provide comprehensive reports to the Operations Manager.

â—‹    Coordinate payment schedules with the Operations Manager.

â—‹    Resolve any issues that arise during project execution.

â—‹    Develop project proposals including mood boards, preliminary designs, and cost estimates.

â—‹    Conduct meetings to finalize project designs.

â—‹    Advise on finishes, layouts, specifications, lighting, and other design features.

â—‹    Source and implement appliance and hardware specifications accurately.

â—‹    Provide design renderings & technical drawings when necessary.

â—‹    Contribute ideas and support to research and development efforts.

 

You will be required to train apprentices.

Skills requirements:

  • 2-3 years experience with construction project
  • college diploma in business or public administration
  • strong client relationship management skills
  • competent in Google Workspace applications.
  • willingness to assist other team members and work collaboratively.

 

Hours of work:

From Monday to Friday

Available on-site from 8:00 am to 4:00 pm and as requested.

Flexibility is required for meetings or emergency calls outside of regular hours.

Constantly on the go between job sites & company HQ.

Attendance at company meetings with project status reports is mandatory.

 

Dress Code:

  • business casual attire is expected.

 

Terms of employment:

Permanent Position from 40 hours per week

Salary:

From CAD$28.40 to CAD$32.00, depending on your work experience
