Job Description

Location: Calgary, AB T3J 0J8

Salary: $29.15 per hour for 35 hours per week

Number of vacancies: 1

Overtime: 1.5 times of gross pay after completion of 44 hours

Vacation Pay: 4% on every pay period

Job Type: Permanent employment

  Job Responsibilities:

  • Being in touch with the accounting department and supervising the billings, payments, checks, and different invoices.
  • Ensuring the functionality of different office equipment and furniture and replacing or introducing different necessary equipment on genuine demand.
  • Warmly greet visitors, answer and direct phone calls promptly, fielding solicitors and maintaining office efficiency by arranging necessary repairs.
  • Look after administrative duties, such as generating and distributing memos, letters, spreadsheets, forms, faxes, and emails.
  • Assisting with billing by preparing and sending invoices, maintaining client databases, tracking accounts, overseeing the invoice workflow, and assisting in copying and distributing production orders and other internal documents.
  • Updating documents used by accounting, production, and designers as requested
  • Maintain a schedule of meetings, appointments, and travel arrangements and provide timely reminders of the same.
  • Coordinating and overseeing all office activities.
  • Ensuring that all relevant company procedures and policies are being upheld.
  • Supervise the members of the administrative team and coordinate their activities.
  • Keep databases in check and update them regularly.
  • Control the office supplies state and make sure it is under office needs.

 Eligibility Requirements:

  • A CEGEP/college in administration, business, or a related field.
  • Two to three years of experience as an office admin, office assistant, or any relevant role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and design software (e.g., AutoCAD, Adobe Creative Suite).
  • Excellent organizational, multitasking, and time-management skills.
  • Strong communication skills, both written and verbal.
  • Attention to detail and ability to maintain accuracy in documentation.
  • Knowledge of interior design concepts, materials, and terminology.
  • Ability to work collaboratively in a creative and dynamic environment.
