College, CEGEP or other non-university certificate or diploma from a program of 3 months to less than 1 year
a)Offer administrative assistance to ensure the smooth functioning of the early childhood center. This includes handling various tasks such as paperwork, phone calls, and
general office duties.
b) Establish and implement policies and procedures to ensure smooth operations and compliance with regulations.
c) Assist in coordinating parent-teacher conferences and other meetings, seminars, etc., participate in staff meetings and training sessions as required.
d) Handle incoming calls, emails, and inquiries from parents, staff, and visitors; Open, sort, and distribute incoming mail and other materials to the appropriate recipients within the organization.
e) Draft and distribute correspondence such as newsletters, memos, and announcements.
f) Plan, organize, and evaluate daily operations to maximize efficiency and productivity.
g) Maintain contact lists and directories of parents, staff, and other stakeholders.
h) Coordinate schedules and appointments for administrative staff, including meetings, conferences, and events; record and prepare accurate minutes of meetings, seminars,
and conferences for documentation purposes. Ensure that all key discussions, decisions, and action items are captured and documented.
i) Assist parents with the enrollment process for new students. This involves providing information about the center's programs, guiding parents through paperwork requirements, and scheduling tours of the facility.
j) Maintain accurate and up-to-date records of student enrollment, including enrollment forms, documentation, and registration information.
k) Supervise other administrative staff members, providing guidance, support, and training as needed to ensure effective performance.
l) Coordinate the activities of the HR department to align with the organization's goals and objectives.
m) Support the HR department in overseeing the classification and rating of occupations to ensure proper staffing levels and job roles are maintained.
n) Oversee the analysis of employee data and information to inform HR decisions related to staffing, performance management, and employee engagement.
o) Manage office supplies inventory and ensure adequate stock levels.
p) Arrange and coordinate seminars, conferences, and other events hosted by the early childhood center. This includes handling logistics, scheduling, and communication with participants.
q) Assist in managing facility needs, including maintenance requests, repairs, and inspections.
r) Assist with onboarding new staff members, including paperwork and orientation logistics, train, direct, and motivate administrative staff to perform their duties effectively and efficiently.
